CANCELLATION AND MISSED APPOINTMENTS

Our goal is to provide quality individualized care in a timely manner. "No-shows" and late cancellations inconvenience those individuals who need access to eye care in a timely manner. We would like to remind you of our office policy regarding missed appointments. This policy enables us to better utilize available appointments for you and our other patients.

CANCELLATION OF APPOINTMENT

In order to be respectful of the needs of other patients, please be courteous and call promptly if you are unable to show up for an appointment. This time will be reallocated to someone who is in need of care. If it is necessary to cancel your scheduled appointment, we require that you call at least 24 hours in advance. Appointments are in high demand, and your early cancellation will give another person the possibility to have access to timely eye care.

HOW TO CANCEL YOUR APPOINTMENT

To cancel appointments, please call 703-272-7880. If you do not reach the receptionist, you may leave a detailed message on our voicemail, send us a text message, or email the office at [email protected]. If you would like to reschedule your appointment, please leave your contact information and we will contact you to reschedule.

LATE CANCELLATIONS

A late cancellation is considered when a patient fails to cancel their scheduled appointment with a 24-hour advance notice.

NO SHOW POLICY

A "no-show" is someone who misses an appointment without cancelling it in an adequate manner. A failure to be present at the time of a scheduled appointment will be recorded in your medical record as a "no-show."

  • First missed appointment: there will be no charge
  • Second missed appointment: $25 fee will be billed to your account
  • Third missed appointment: $50 fee will be billed to your account
PROGRESSIVE ADDITION LENSES

All progressive addition lenses (also called invisible or no-line multifocals) have a slight optical distortion in the outer portions of the lens, which can make some objects appear bowed or curved, or can cause a feelings of motion when the head is turned. The reading zone in progressive lenses is wide enough for most purposes, but it may be narrower than some other bifocal styles. These factors are usually minor and disappear with wear. The advantages of this lens generally outweigh the problems and the success rate is over 95%. While most people are not bothered by these characteristics, some will find it unacceptable even after a two-week adaptation period.

If you cannot adapt to progressive addition lenses, we will make new lenses in any other design that you wish at no charge, within 30 days of dispensing. Since the original lenses were custom prescription item which must be discarded, there are no refunds of the difference in cost if the remake pair is of lesser value.

RETURN AND EXCHANGE POLICIES

Glasses are ordered and custom made specifically to address each patient's needs. We do honor each insurance company's return policy. However, a restocking fee may be charged for any cancelled or returned orders that are still in processing. Patient may be eligible for a redo within 60 days of order. Orders are final after 60 days of purchase.

A restocking fee will be charged for all patient returned and exchanged contact lens orders.

EYEGLASS PRESCRIPTION POLICIES

As a patient at Primary Eyecare Associates you have the right to your eyeglass prescription. We believe we offer the best value available when you consider service, quality and price. We hope you will choose us for all your eyeglass needs. If you decide to shop elsewhere for glasses, we certainly understand and we will provide you with your prescription.

Local opticians and optical shops generally do a good job filling our prescriptions. However, we have concerns with the use of eyeglass vendors over the Internet. Fitting eyeglasses properly involves precise measurements, unbiased advice based on your needs and skillful adjustments of the frame and lenses to provide optimal vision. Since Internet vendors do not actually meet with you in person, they can't provide those services. We provide all the optical services at no additional cost for patients who buy eyeglasses at Primary Eyecare Associates, but we can't provide them for glasses purchased elsewhere.

All optical measurements including pupillary distance for glasses are both patient and frame specific. We firmly believe that all measurements for glasses should be taken professionally where glasses are purchased for best results. Visual problems may result if a correct prescription is made with inaccurate optical measurements.

To avoid confusion and disappointment with glasses purchased elsewhere, below are our policies:

  • For glasses purchased here complete troubleshooting and prescription checks are provided at no cost within 60 days of purchase.
  • The pupillary distance is not part of your eyeglass prescription. However, we can provide you with the measurement upon request.
  • If glasses are purchased elsewhere and you are experiencing visual problems, we provide troubleshooting and prescription checks by the doctor as needed for a fee up to $60.
